Application of Student's Pass

 

NOTE:

ICA Student Pass Formalities @ NTU for International Students (Offsite Enrolment) –17 to 18 January 2024

Email invitation will be sent to international students who have matriculated by 29 December 2023, to make an appointment for the COF on-site (in-person) at the Nanyang Auditorium Exhibition Hall, Level 3, NTU.  If your SVP expiring before your appointment date, please extend your SVP at ICA website here.  If you have any queries, please submit your query through Ask One Stop.

1.Full-Time International StudentsYou must hold a valid Student's Pass issued by the Immigration & Checkpoints Authority (ICA) of Singapore for your studies in NTU.
2.Dependant's Pass (DP) holder

If you wish to study in NTU, you must apply for a Student’s Pass.

Dependent Pass holder has to state his/her intention to study in the remarks column in the e-Form (ICA SOLAR System) if he/she wishes to continue holding DP for the study.

If approved by ICA, you will be issued Letter of Consent (LOC) by ICA to study in NTU.
3. Part-Time StudentsNot eligible to apply for Student's Pass.
4. Application of Student’s Pass
You must submit an application at least 2 months but not more than 3 months before the commencement of the course, through ICA Student’s Pass Online Application and Registration (SOLAR) System.

Prior to your Student Pass submission to ICA, NTU will need to register your particulars through the ICA SOLAR system with the following details:

  • Your name, date of birth, gender, and nationality (as appear in your travel document)
  • Course details, course commencement and course end dates
  • SOLAR application reference number 

Undergraduate students can access to the Student's Pass – Undergraduate Acceptance Link after obtaining the matriculation number.

Postgraduate students can look out for the Confirmation of Acceptance email sent to  the inbox/ junk folder after  confirming acceptance. The Student’s Pass Online Application and Registration (SOLAR) details will be indicated in the email.


Please ensure the following when submitting eForm 16 at ICA SOLAR system:

  • All your particulars are correctly captured in eForm 16. Please inform us through  Ask One Stop if there is any discrepancy,
  • NRIC/FIN number of your parents if they are Singaporeans or foreigners working or living in Singapore. Otherwise, leave it blank.
  • A Singapore address and contact details. You may leave it blank if there is no local address/contact details.
  • Reachable email address.

You have to pay a non-refundable processing fee of $30 within 7 days upon submission of your eForm 16 with complete documents. Failing which, the application will be withdrawn. ICA SOLAR system only accepts payment via credit/debit card and internet banking only. 

ICA processing time:

  • Application without Visa - 5 working days
  • Application with Visa - 10 working days

*Processing time may take longer on case-by-case basis subjected to ICA’s approval.

You may check your Student Pass application status via ICA SOLAR system. If approved, you may print the outcome letter of your Student's Pass.

Your visa will be incorporated in the IPA letter if you require visa. You need not apply separately and may enter Singapore with the IPA letter at the Singapore checkpoints.

The offer of admission to NTU that you received is conditional upon the issuance of a Student's Pass by ICA. If the period of your studies at NTU is 6 months or more, you are required to pass a medical examination conducted at the Fullerton Health @ NTU before you can be issued with this pass. The examination will include tests for the Human Immuno-deficiency Virus (HIV) and Tuberculosis.

Upon satisfactory completion of the medical examination, the Fullerton Health @ NTU will issue you with a medical report which you need to submit online for the completion of the Student's Pass formalities with ICA in Singapore.

You will be denied admission and must return home at your own expense if you fail the medical examination.

Please refer to your letter of offer (for graduate students) and 'Acceptance Link' (for undergraduate students) for the instructions to book your medical examination at the Fullerton Health @ NTU.

Access ICA SOLAR system to complete the next 3 steps for the COF as shown below.

Once ICA approves the documents, the applicant would be notified to make payment (within 7 days) . If payment not made within the deadline, ICA would cancel your application. You will then need to repeat the application process again.

Please note that the completion of Student's Pass formalities with ICA is strictly by e-appointment ONLY at ICA building within the validity of the Social Visit Pass/expiry date of the IPA letter, whichever is earlier.  ICA will not entertain student walk-in without e-appointment.

You will need to make an e-appointment with ICA and be present in person (with required documents listed in your IPA letter) at the Student's Pass unit, 4th floor, ICA Building (next to Lavender MRT station) to complete the formalities with ICA in order to be issued with your Student's Pass.

If the e-appointment date is beyond the validity of social visit pass, please extend your social visit pass at ICA website.

Students who have attended the e-appointment with ICA officers at ICA building or offsite enrolment at NTU to complete their Student’s Pass formalities, need NOT extend their social visit pass even if the issuance of the digital student pass is beyond the validity of the social visit pass.

Important Notes:

1) Vaccination Status

Applicants who were vaccinated overseas must be fully vaccinated up to minimum protection levels and visit a Singapore healthcare provider to update their overseas vaccination records into Singapore's National Immunisation Registry (NIR). Applicants whose vaccination records are not found in the NIR will not be allowed to complete formalities. Please refer to the FAQs on the Ministry of Health (MOH)'s website for more information on recognising overseas vaccinations as well as the list of healthcare providers providing such services.

Applicants who cannot be vaccinated due to medical conditions will need to produce a Singapore doctor's memo stating the following details when completing formalities at the counter:

  • Medical condition
  • Reason(s) for being unable to take any COVID-19 vaccination, regardless of the brand of vaccine used.

*Has received the appropriate regimen of World Health Organisation Emergency Use List (WHO EUL) vaccines. Please refer to MOH's website for the list of approved vaccines and required doses.

 

2) Singapore Mobile Number

**The Singapore mobile number that can receive SMS, must be ready by the time of the biometrics enrolment/completion of formalities (COF) of the STP as a one-time OTP will be sent to the Singapore mobile number provided. In the event the Students are unable to apply for a Singapore mobile number, the Students can use the Singapore mobile number that can receive SMS, of an authorised proxy (e.g., sponsor or parent, etc.), so long as the owner of the mobile number is aware that his/her mobile number is used for the retrieval of the digital STP.

 

3) Overstaying

Please be informed that Overstaying is a punishable offence under the Immigration Act. If a person overstays beyond the validity of his/her immigration pass, he/she may be subjected to a composition fine and prosecution in court.  Application/approval of student’s pass does not constitute legal extension of stay in Singapore. 

The applicant must have a valid immigration pass at all times.

 

 

Students who have attended the e-appointment with ICA officers at ICA building or offsite enrolment at NTU to complete their Student’s Pass formalities after 27 Feb 2023 will be issued with a digital Student’s Pass (STP).

Upon successful completion of formalities (i.e. enrolment of biometrics), students should expect to receive the “Login email” from [email protected] which will be sent to their email addresses as provided in the eForms, within the same day of enrolment done in ICA building.  For offsite enrolment, students should expect to receive the “login email” no more than 1 week from the date of enrolment.
