College of Engineering
Executive Officer 

You will provide administrative, secretarial and human resource management support to the Dean/Associate Dean at College of Engineering. You will execute a full spectrum of administrative and secretarial duties, which includes (but not not limited to) appointment/meeting schedule, documentation, minutes-taking, report compilation, event management, processing of payments/purchases, as well as providing other logistical support to ensure the effective operation of programmes and services in the college.  You will also be assigned to other duties by College management on ad-hoc basis.      
 
Requirements:

  • Minimum Polytechnic Diploma or equivalent
  • Proficient in Microsoft Office applications
  • Good team player with positive and forward looking mentality and work attitude
  • Dynamic and able to work under time pressures
  • Good communication, interpersonal and organisational skills
  • Good command of written and spoken English
  • Preference will be given to those with relevant experience

 

School of Chemical and Biomedical Engineering
Executive Officer

You will assist in the coordination, administration of postgraduate students and research matters and to provide secretarial and administrative support to the Associate Chair (Research and Graduate Studies)

Requirements:

  • Polytechnic diploma
  • Preference will be given to those with secretarial experience (in education industry would be an advantage)
  • Proficiency in Microsoft Applications
  • Ability to multi-task and work as a team
  • Excellent interpersonal, communication and organisational skills 

 

School of Electrical and Electronic Engineering
Executive Officer

You will be providing secretarial support to the Director/Deputy Director of the new Nanyang Centre for Solid State Lighting in the preparation of reports and correspondences, management of appointments and travel arrangements, reimbursement claims, and any other administrative support as defined by the Director/Deputy Director.

Requirements:

  • Good polytechnic diploma with relevant working experience in administration
  • Organised, meticulous and self-motivated

Joint Research Laboratory - Unité Mixte Internationale (UMI)

The French National Centre for Scientific Research Centre (CNRS), Nanyang Technological University (NTU) and Thales have established a joint international reseacrch unit, Unité Mixte Internationale (UMI) under CINTRA (CNRS Internation -NTU-Thales Reserach Alliance).  Based in Singapore, UMI will conduct research into nanotechnologies for electronics, photonics, and related applications.

You will providing secretarial support to the Director/Deputy Directors and researchers of Unité Mixte Internationale (UMI) in the preparation of reports and correspondences, management of appointments and travel arrangements, reimbursement claims, and any other administrative support as defined by the Director/Deputy Directors.

Requirements:

School of Humanities and Social Sciences
Executive Officer

You will provide administrative support to the Division manager and faculty.  You are expected to liaise with faculty and students effectively and deal with the overseeing and administration of new curricular developments, yearly student admissions, and all division-wide activities, academic and social.  

Requirements:

  • A good Polytechnic Diploma in any discipline or
  • Minimum 2 years of administrative experience in a similar capacity
  • Candidate must be proficient in both written and spoken English
  • Proficient in Microsoft Office applications especially Microsoft Word, Excel and Outlook
  • Good organizational, analytical and inter-personal skills
  • Pleasant and easy-going personality
  • Be an excellent team player with initiative

Clerical Officer (1 year contract)

You will provide administrative support to ensure smooth running of the Division of Economics.  Your duties will include:  

  • Covering secretary support to the Head of Division/Chair
  • Handling telephone calls, scheduling meetings and appointments
  • Tracking and monitoring events and following up on deadlines
  • Processing reimbursement claims
  • Handling division's annual evaluation process
  • Advising staff of the university documentations and procedures
  • Processing applications of staff leave/overseas, local conferences (online system) & consultancy work for division staff
  • Collating and compiling information and statistics
  • Providing service and support to faculty
  • Organising proper filing and record keeping system
  • Attending to emails, requests and students appeals
  • Assisting in events and seminars
  • Providing buddy system's support to other office/division
  • Other ad-hoc administrative tasks as required

  • Requirements:

    • Minimum 'O' level with at least 3 years of relevant working experience
    • Proficient in MS office application

    School of Civil and Environmental Engineering
    Executive Officer
    (1 year contract)


    You will support in the school projects accounts, such as monitoring budget funds application, liaise with faculty staff on expenses, submitting funds claims, handling internal and external queries, and other general administrative duties.      
     
    Requirements:

    • A good polytechnic diploma in Finance and CAT graduate
    • At least 2 years of relevant working experience
    • Proficiency in MS Office application
    • Organised, meticulous and self-motivated
    • Able to work independently and as a team player

     

    SAF-NTU Academy
    Executive Officer/Administrative Assistant

    You will perform administrative and clerical duties in the following areas: 
    planning and scheduling of meetings, appointments and payment of purchasing invoices
    co-ordinating the Academy Office's activities including the management of information and communication for the Office
    co-ordinating and administrating the Academy's conferences, workshops and visitors
    establishing a system for storing, retrieving and disseminating of information, liaising with vendors, service providers and external clients on behalf of the Academy

    School of Biological Sciences
    Executive Officer

    Position 1

    You will be responsible for the full spectrum of purchasing including tenders, expenditure tracking, attending to auditor queries, ensure compliance with purchasing procedures and assist in budgetary and financial issues.
     
    Requirements:

    • Polytechnic diploma in Business or related discipline
    • At least 3 years' experience in purchasing functions, preferably at supervisory capacity
    • Preference for candidates who are familiar with GeBiz, SAP and government procurement procedures
    • Meticulous and able to work independently
    • Good organisational skills and team player  
       

    Executive Officer/Clerical Officer

    You will administer undergraduate student matters including student timetable planning, alumni database, registrations, exchange programmes, assisting students with their enquiries and other duties within the undergraduate office.

    Earth Observatory of Singapore
    Executive Officer (Operations Support) 
    (6 months contract)

    The Earth Observatory of Singapore (EOS) is a Research Centre of Excellence, funded by Singapore's National Research Foundation, Ministry of Education, and Nanyang Technological University.  Research at EOS focuses on understanding Southeast Asia's dynamic oceans, atmosphere and tectonic plates and characterizing the tectonic, volcanic and climatic processes responsible for these hazards.  These scientific characterizations will promote forecasts of natural processes that will aid governments, communities and businesses to anticiplate and adapt creatively to these environmental challenges, as well as develop and implement visionary policies.  

    In collaboration with EOS administrative team the Executive Officer will have the following responsibilities:

    ·         Provision of estate management support

    • Point of contact/liaison for all EOS estate management matters with internal & external parties
    • Management of EOS security access, workstation and IT assets allocation

    ·          Provision of IT & AV support

    • Point of contact/liaison for all EOS IT & AV matters with iinternal & external parties
    • Arranging and performing installation, maintenance and basic troubleshooting of audio visual equipment (projectors, screens, etc). computer network, software/hardware. application systemss and email accounts  

    ·          Provision of procurement and assets management support

    • Provision of procurement support from request for quotation and purchase, through to receipt, issuance and invoice submission
    • Evaluation and management of all EOS IT & AV software/hardware & licenses  

    ·          Assistance in ensuring that all transactions are executed in adherence to prevailing guidelines

    ·          Assistance in supporting all general administrative and coordination matters in EOS

    Requirements:

    • Polytechnic Diploma in Information Technology/Business/Management or eqivalent
    • Relevant work experience will be an advantage
    • Excellent IT & AV skills and knowledge
    • Team player with good interpersonal, communication and organisational skills
    • Experience in SAP financial system and Gebiz Procurement Process is an advantage
    • Able to start work within short notice

     

    Office of Academic Services
    Executive Officer

    You will be required to provide management and administrative support for a wide range of undergraduate student matters, which will include (but not limited to) processing of documentation, maintaining database, compiling reports, addressing inquiries and requests as well as assist in the coordination and execution of events/activities. You are expected to liaise with faculty and student effectively.

    Requirements:

    • Polytechnic Diploma in any discipline with at least  2 years’ administrative experience
    • Positive work attitude, able to work independently and as a team
    • Meticulous, systematic and well organised
    • Good organisational, interpersonal as well as oral and written communication skills are a must
    • Proficient in MS applications eg MS word, MS Excel, MS PowerPoint, etc and database management
    • Experience in organising events is an advantage

     

    Office of Finance
    Executive Officer

    Position 1

    Responsibilities: 

    The successful candidate will work in the Procurement Section of the Office of Finance. The candidate’s main responsibility is to provide administrative support to the Senior Officers and perform general administration duties in the Procurement Section. The candidate may be required to take up other duties as assigned from time to time when required.

    Requirements: 

    • A good Diploma/ A Level with preferably 2-3 years of administrative experience
    • Proficient in Microsoft Office Applications especially Microsoft Word, Excel and Outlook
    • Preferably with SAP purchasing software experience
    • Preferably with government procurement system (GeBIZ) experience
    • Able to mult-task and work as a team
    • Good interpersonal, communication and organisational skills
    • Preferably able to start work at a short notice

     

    Position 2

    Responsibilities: 

    You will required to maintain budget for research projects and process research grant claims on a timely basis.  Other job responsibilities include processing payments, general accounting and preparation of management reports.

    Requirements: 

    • Preferably candidate with ACCA or AAT certificates, Diploma in Accounting
    • Proficient in Microsoft Excel and Powerpoint
    • Familiar with SAP System
    • Relevant experience in processing payments and preparing financial claims

      

      Student Affairs Office
      Clerical Officer (1 year contract)

     Responsibilities: 

    The successful candidate will render clerical duties and support work during pre-and post Youth Olympic Games period.  He will liaise with OFPM and Hall Officers on the refurnishment work to be done.  He will liaise with JCRCs and students on movement from hall to hall and arrange transport/schedule.  He will also liaise with YOG Committee members on the repairs/replacements to be done in rooms after athletes vacate the hall and compile list of claims.   He will also arrange educational and cultural activities that involve NTU students.

    Requirements:

  • Min A Level qualification
  • Preferably have experience in logistics and co-ordination work
  • Competent with Microsoft Word, Excel and Access
  • Have a pleasant personality and able to work under pressure
