Interlibrary Loan (ILL) to other Libraries

Scope of Cooperation

Interlibrary loans can be made on an institutional basis only. We accept requests from local libraries of government departments, statutory boards, tertiary institutions and government-owned companies. Requests from other types of institutions or organizations are considered on an individual basis. 

First Time Applicant

Please write to University Librarian, NTU, email : circulation@ntu.edu.sg, and provide

  • A brief introduction of your institution (eg. privately or publicly funded, etc.)
  • Library set-up (eg. name of the Chief Librarian, size of your Library collection and membership)
  • Indicate whether you are prepared to reciprocate similar services to NTU Library.

The NTU Library will respond within 3 working days on whether application is approved or denied.

Materials that can be Borrowed

All materials can be borrowed except: AV materials, microforms, computer diskettes, reference books, journals, project reports & theses, reserve books, conference proceedings (unpublished), and confidential materials.

In lieu of loans, libraries may request for a photocopy of the material required within the constraint of the Copyright Act 1987.

Loan Period

The loan period is 21 days for local libraries and 28 days for foreign libraries. 

Loan Limit

Ten items may be borrowed at a time.

Requesting

Details of the item required should be checked by the requesting library. Where details are inadequate, the requesting library should make a reasonable effort to verify the information in whatever bibliographic tools it possesses. If unsuccessful, it should state the sources checked. Details of the requested item should be adequate for its identification. A source of reference should be quoted wherever possible.

Standard request forms available from the Library Association of Singapore (LAS) should be used. Foreign libraries may apply for interlibrary loans using prescribed forms from their institution or national / international library associations. Where a loan, photocopy, etc is specifically required, this should be stated on the request form. Where copyright restrictions may apply, the requesting library should abide by them.

Requests may be despatched by the regular mail service or transmitted by fax to (65) 67914637. Libraries may also submit requests via email to circulation@ntu.edu.sg.

Supplying

  • Local libraries : Loans have to be collected by the requesting library.
  • Foreign libraries : The item will be sent by courier service.

Receipt and Return

  • Acknowledgement of receipt is not required.
  • Loans should be returned in time to arrive at our library by the due date. Loans may be renewed once.
  • All materials must be returned in person, or by registered post (airmail in the case of foreign libraries) or by courier service.
  • When returning by post or by courier service, the borrowing library must ensure that the item is properly and safely secured so as to withstand rough handling.
  • The requesting library is responsible for any loss or damage of materials loaned to it, from the time of its despatch to its return to our library.

Payment

Charges are not levied for loans made out to Singapore libraries. However, loans to foreign libraries are charged on cost recovery basis.
