FAQs on publishing events in NTU Event Calendar / Campus Buzz

FAQs on using the NTU Event Calendar Admin Module

Where can I publish my event?

Schools, offices and student clubs may publish official events in NTU Event Calendar and/or Campus Buzz, the weekly e-newsletter for students.

How can I reach out to all students?

CampusBuzz is a weekly email newsletter on the latest happenings inside and outside of campus. The content of the e-newsletter is generated automatically from NTU Event Calendar on a weekly basis. All NTU students and NIE trainee teachers are pre-subscribed to this e-newsletter. Hence schools, offices and student organisations are strongly encouraged to make use of Campus Buzz to publicise their events or activities to the student community.

Appointed school or office administrators, and authorised student club officials with NTU-issued role-based accounts can upload event details on their own in the NTU Event Calendar via the NTU Event Calendar Admin Module (see sections below for more details). The events will then be automatically compiled into Campus Buzz on a weekly basis. Campus Buzz is sent out by Student Affairs Office (SAO) every Thursday or Friday evening to notify students of events happening in the following week (as well as upcoming events for the next one month). Hence, publicity information should be uploaded latest by every Wednesday. For further enquiries, please contact servicedesk@ntu.edu.sg.

Who can publish event in NTU Event Calendar and/or Campus Buzz?

Only appointed school or office administrators, and authorised student club officials with NTU-issued role-based email accounts (eg. ClubXYZ-Secretary@ntu.edu.sg) can self-publish their official events via the NTU Event Calendar Admin Module. NIE staff and students may seek assistance from NIE Service Desk servicedesk@nie.edu.sg to publish their official events in NTU Event Calendar and/or Campus Buzz.

For details on how to apply for right to use the NTU Event Calendar Admin Module, please refer to the section below.

If you need to publish an official event urgently but do not have the access right to do so, you may contact servicedesk@ntu.edu.sg for assistance. However, you are expected to apply for access right for the publication of any subsequent events.

How can I apply for access right to use NTU Event Calendar Admin Module?

(1) For NTU student clubs, access to NTU Event Calendar Admin Module is only granted to NTU-issued role-based accounts (eg. ClubXYZ-Secretary@ntu.edu.sg). Student clubs who do not have any NTU-issued role-based email account need to first apply online via iNTU > StudentLink. NTU-issued role-based email accounts are available in blocks of 20 accounts. Note that each student club can have only one of these NTU-issued role-based accounts be granted access to NTU Event Calendar Admin Module for accountability reasons.

The President of a student club may apply online from iNTU > StudentLink -> IT Services -> Student Club Website and Email Accounts Application.  For account application details, please check here.

[Note: Student clubs whose Presidents are NIE and Postgrad students (who cannot access NTU StudentLink) need to apply using this form.]

(2) NTU Staff who are appointed by the school or office to publish events may apply for their personal accounts to be granted access to NTU Event Calendar Admin Module via Service Catalogue which is accessible from CITS website or iNTU Intranet Portal:
iNTU  > Stafflink > Resource Request > IT Services > Service Catalogue > website Support > Access Rights > Request to for access rights to post events.

Your application must be routed to your supervisor/HOD for approval. Schools and offices are strongly encouraged to use role-based accounts for event publicity, as role-based accounts enable flexibility and ease of change in personnel or job responsibilities.

For further assistance on account application and access right, please consult Service Desk at servicedesk@ntu.edu.sg.

Where do I get training on using NTU Event Calendar Admin Module? Any step-by-step user's guide?

A step-by-step user's guide is available for download: [NTU Event Publishing Guide].

I have posted my event but it did not appear (correctly) in Campus Buzz, why?

Please check the following:

  • Did you follow all the steps closely as listed in the NTU Event Publishing Guide?
  • Did you click the option for "Campus Buzz" while creating your event?
  • Do the Publish Date and End Date of your event fall within the valid Week (or Month for "Coming Events") of Campus Buzz?
  • Did you click the "Publish" button on the top menu in the Edit Site to publish your event on or before Wednesday (SAO's cut-off day) for it to appear in the coming week's Campus Buzz?

If any of the above is not met, then your event will not be published in Campus Buzz. Please edit your event to satisfy the above criteria.

Do not copy & paste content directly from MS Word document or HTML email. Thumbnails and images should also be of the correct size before uploading. Please refer to the next FAQ for details.

Please also note that SAO reserves the right to edit or remove any postings in Campus Buzz that are deemed inappropriate. If in doubt, please consult servicedesk@ntu.edu.sg for further assistance.

Can I copy and paste content directly from documents like MS Word or HTML emails?

You should NOT copy and paste content directly from documents like MS Word or emails. This is because some hidden codes might also be copied over and could cause problem in content generation for Campus Buzz email. The proper way is to copy the text content to a Notepad (text) file, and then copy from the Notepad to the Event Calendar placeholder. This will eliminate all hidden codes from the content. Alternatively, you may type your content directly into the placeholder.

Images and attachments (if any) should be uploaded to the server folder. Please refer to the User's Guide on how to do so. Thumbnail image should not exceed the width of 230 pixels, otherwise it will appear distorted in the Campus Buzz email.
