Registration of interest-based clubs with the Registrar of Societies 

General

The term "University Society/Student Body" here means a club or society not being a consitutent body of the Students' Union but formed among the students of the University.

The Student Bodies shall be classified into four categories viz. academic, recreational, social and religious according to the nature of their activity objectives.

Proposals and Preparations in the Organisation of Student Bodies

Students who wish to form any society shall have more than twenty persons as initiators. No students from other Schools shall be invited to be members of any Student Body which belongs to the particular school.

The nature of any proposed Student Bodies shall not be the same as any of the existing Student Bodies in the University.

Three representatives from the initiators of the proposed Student Body shall forward their completed  Application Form together with a copy of the  Constitution to SAO for consideration.

After obtaining the approval for the preparatory work, the initiators may form a protem committee to proceed with the preparatory work for the proposed formation of the proposed Student Body.

The Protem Committee shall within one week after its formation notify the Student Affairs Office of the matter for record purposes. At the same time, an application for registration shall be made to the Registrar of Societies of te Republic of Singapore. If the application is rejected by the Registrar, the Protem Committee of the proposed Student Body shall immediately inform the Student Affairs Office and declare its automatic dissolution thereform.

Protem Committee should be familiar with the provisions of the Societies Act (Chapter 311, 1985 Revised Edition) concerning the legal requirements for registration of societies.

The Protem Committee of a proposed Student Body shall within one week after its formation invite one or two members of the teaching/administrative staff of the University to be its adviser(s). If no adviser is available, the proposed Student Body shall automatically be dissolved and SAO shall be informed of the matter for record purposes.

The adviser(s) shall be Singapore citizen or permanent resident but not confined to members of the teaching staff of their School concerned.

All Student Bodies shall within two weeks after their official inauguration be required to submit their respective lists of Advisers, office-bearers and members to SAO for record purposes.

Election Procedure

Please adhere to the Election Procedure found in your organization's constitution.

This sample of the Election Procedure is only a Guide for club/society/JCRC where your constitution does not state the Election Procedure.

Amendments to Constitution

Approval for any amendments to the constitution of a student organization constituted under the NTU Regulations (University societies and Student Activities) must be sought from the Director of Students through the respective officers in SAO.

For registered societies, the Societies Act (Chapter 311, 1985 Revised Edition) has specific provisions requiring prior approval of the Registrar before a registered society can change its name, place of business or amend its rules.

Use of Clubs' room

Club rooms of Student Bodies should be used for activities related to the Student Body concerned. Such premises should not be used by other organizations or non-members of the Student Bodies.

Expenses of organizing activities

Student bodies should keep expenses minimal and within the approved budget.
