Facilities & Venue Booking 

Various facilities and equipment are available for student organizations' booking. Prior event approval must be sought before applying for their usage.

 

Common meeting rooms at Student Activities Centre (SAC)

Facilities & Equipment at Nanyang House

Facilities available to student organisations for activity use without charges:

For booking:
1. Read the Rules and Regulations on usage before booking.
2. Download and complete the relevant form

3. Submit the completed form(s) to the Nanyang House General Office or email it to an Officer-in-Charge.

Facilities at Halls of Residence

Only appointed representatives from student organisations can book hall facilities via the Hall Facilities Booking System (HFBS) found in Studentlink. Charges are applicable.

Facilities available:

  • Amphitheatres – Hall 10 & 12
  • Dance Rooms – Hall 1, 3, 8, 9, 10, 11 and 15
  • Function Halls – Hall 3, 6, 7, 8, 10, 12 and 15
  • Function Rooms – Hall 4, 12 and 13

For booking:

  • Go to Studentlink - Hall Facility Booking System (HFBS)
  • Select venue, date, time and click 'Submit'.
  • SAO will recommend the booking on system (based on approval of activity)
  • Hall Office will approve use of venue on system
  • Hall Office will generate acknowledgement email on the booking and charges payable
  • Make payment at Hall Office

 

Pavilion, Canopy, The Quad and NorthLink (areas around N2.1, New Eateries)

Student organisations must seek event approval from their respective officers-in-charge in SAO before venue bookings can be supported and approved.

  • Plaza at North Spine
  • Pavilion at TCT LT
  • The Quad
  • Linkway at North-South Spine
  • Canopy E at Admin Building
  • Canopy K at LT1A
  • Canopy N at LT1 - Lots 1 & 2
  • Void Deck at LT1 - Lots A, B, C & D
  • NorthLink 1 at N2.1 - Lots 1, 2, 3 & 4
  • Plaza at South Spine
  • Concourse at Canteen B - Lots 1, 2, 3, 4, 5, 6, 7 & 8
  • Terrace at LKC-LT

For booking:

  • Go to Studentlink - Others - Pavilion and Canopy Booking System.
  • Select venue (click the provided links to see photos and exact locations of venue), check the requested date and time.
  • Click ‘Submit’ at the bottom of the page to go the next screen which is the ‘Application Form’ page.
  • Fill in the fields, stating the student organisation/project committee, event title, name, designation and contact number. Then click ‘Confirm’.
  • SAO will recommend the booking on system (based on approval of activity) for OFPM’s approval.
  • OFPM will approve use of venue on system.
  • Acknowledgement email will be sent to applicant once application is approved.

Logistics (tables, chairs, mobile noticeboards) support:

  • For a basic booth set-up e.g. registration - bring confirmation email to SAO in exchange for the North or South Spine store room keys
  • For a large set-up e.g. exhibition - make own arrangement to loan them from other sources such as Nanyang House

 

Lecture Theatres (LT) and Tutorial Rooms (TR)

Only appointed representatives from student organisations can book LTs and TRs via Studentlink. Charges are applicable.

  • Check the capacity of desired LTs and TRs here
  • Please book venues according to capacity needed to prevent electrical wastage.
  • These venues are not available for booking: TR36-58, CS-LT/TR, TR61-98

For booking:

  • Go to Studentlink - Others - LT/TR Booking (Student Organisation) to book LT or TR
  • Acknowledgement email will be sent to applicant
  • Print acknowledgement email and make payment at Student Services Centre Level 3, Cashier (Finance)
  • Tear out lower portion of the acknowledgement email and send it together with the receipt to SAO

Nanyang Auditorium

The Nanyang Auditorium may be considered for holding of large-scale events subject to the approval of SAO.

Information on rates and capacity is available at the Office of Facilities Planning and Management's website.

 

NIE

For booking of venues within NIE campus, submit this application form to Ms Phyllis Kok, Assistant Head, Student Liaison (email: phyllis.kok@nie.edu.sg) together with documentation of event approval from SAO.

 

CELT & OFPM Services

Services include:

  • Loan of Projector & Screen, AV equipment eg. microphones, mic stands etc
  • Technician's expertise/Work request (eg. concerts, video recording, AV control room, Nanyang Auditorium, LT19, loan of rostrum/console dismantling/stage lightings)

For booking:

1. Send request to SAO with the following details:  

  • Name of Event (Actual Event / Rehearsal)
  • Date of Event & Collection Date (for equipment loan)
  • Time
  • Venue
  • Service / items required (including quantity)
  • Student's Name and Mobile no.
  • If you have prior liaison with CELT / OFPM, state name of staff
  • and copy your club's SAO Officer-In-Charge (OIC), if your event proposal has been approved. Otherwise, please discuss your requirements with your club's SAO OIC first before sending the request.  

    2. SAO will raise the request to OFPM/CELT and advise costs/charges to your club accordingly. (eg. $26/day for projector loan)
